SUMMARY

This position serves as program management support for the various activities and staff in the Academy, specifically for the Fellows and Academic Outreach programs. This position will also serve as an administrative liaison between the Academy and the core administrative team of the broader ACT program and provide assistance with the Academies web pages.

MAJOR DUTIES AND RESPONSIBILITIES

  • Provides administrative oversight and project management support for key Academy programs including coordination and implementation of day-to-day operations. Provides creative solutions to problems, works independently on an array of projects, and applies sound administrative competencies;

  • Provides contract management support activities, including processing invoices and monitoring payment of contractor services.

  • Manages administrative support for the USIP Fellows Program, including organizational assistance with fellowship competitions—including a peace dissertation prize--for Peace Scholars, Senior Fellows and military fellows and cadets;

  • Oversees on-boarding and off-boarding procedures for Fellows, including liaising with HR;

  • Monitors and assists with maintenance of website pages related to Fellows, program applications, and non-violent movements, as well as the document management system, databases, Intranet pages, and contacts;

  • Assists with scheduling and logistics for events and occasional third party travel;

  • Serves as the primary administrative liaison between the Academy and the core administrative team of the broader ACT program;

  • Other duties as assigned.

QUALIFICATIONS

  • Bachelor's degree in business management or related field preferred or equivalent combination of education and experience required.

  • One (1) or more years related business or administrative experience to become familiar with general accounting and budgeting principles and coordination of major office activities required.

  • Strong communication skills and an ability to work on many projects simultaneously.

  • Strong skills in the Microsoft Office Suite, particularly MS Word, MS Outlook, and MS PowerPoint, is a must.

Compensation is commensurate with qualifications and experience.
