SUMMARY

This Program Specialist position serves as the operational communications lead for the Center on Applied Conflict Transformation (ACT). This includes contributing to the development and execution of internal communication plans, external messaging campaigns, and publications and tools development and dissemination under the supervision of the ACT Director of Publications and Outreach.

MAJOR DUTIES AND RESPONSIBILITIES

Communications and Administrative Management:

  • Drafts, updates, and edits various program documents (ex: Briefing Notes, Talking Points) and website and social media content.
  • Supports implementation of outreach strategies for ACT by identifying, collecting, and sorting contact information for key audiences, ensuring ACT contributions to USIP Salesforce and ExactTarget systems, and maintaining up to date information on a rolling basis.
  • Coordinates dissemination plans for all ACT publications and online resources, including stakeholder/contact management and analysis, developing outreach calendars; and liaising with program teams, publications, and public affairs.
  • Oversees the finalization of ACT weekly updates for the USIP leadership team, including curating submissions, drafting the updates, and submitting the draft to the ACT VP.
  • Works in close collaboration with External Relations to ensure consistent messaging & branding across ACT and the institute.
  • Develops & utilizes a monitoring and evaluation system for tracking ACT outreach performance using web and advanced analytics and shares key publication readership indicators with ACT and USIP staff on a quarterly basis.
  • Tracks the activities of peer organizations conducting research and policy work relevant to ACT issues and countries.
  • As necessary, manages the production process for digital media tools (e.g., videos, podcasts) for ACT programs. Such responsibilities may include designing and managing work plans and timelines, liaising with writers and editors to coordinate inputs and oversight of the budget and coordinating efforts with USIP's public affairs team.

Budget and Contract Coordination & Oversight:

  • Tracks expenditures against budgets.
  • Secures vendor quotes and assists with negotiation of contracts for program work related to digital media tools.
  • Manages vendor contracts.
  • Serves as the main point of contact for external contractors or vendors on any contractual or logistical-related items. Alongside the director of the center, oversees the program budget including tracking spending, nonprofit spending, burn rate and executing contracts.

Performs other duties as assigned.

QUALIFICATIONS

  • Applicants must be U.S. citizens or nationals of countries listed in a U.S. Collective Defense Arrangement per the Department of State. To see a list of those countries, go to http://www.state.gov/s/l/treaty/collectivedefense/index.htm.
  • M.A. or equivalent experience required, with a preferred focus in public policy, international affairs, communications, writing and/or English.
  • A minimum of three years of professional experience directly related to communications and outreach, writing, and digital media development.
  • Excellent communications and outreach skills required.
  • Excellent research, editing and writing ability; strong organizational skills; and ability to work independently and yet collegially.
  • Excellent program management skills required.
  • Excellent video production skills preferred.
  • Excellent website development and management skills preferred.
  • Excellent computer skills, including basic knowledge of web design language and video editing software preferred.

Compensation is commensurate with qualifications and experience.
