JOB BRIEF

The Program Assistant (PA) provides day-to-day programmatic, operational, resource, and administrative support for the Program on Nonviolent Action (NVA) in the Gandhi King Global Academy. The PA develops and updates informational and programmatic material, coordinates event logistics and event development supports budget and contract management activities, and conducts basic research as needed. This position is based in Washington, DC and will report to the Project Manager Program on Nonviolent Action Team.

TARGET SALARY RANGE

Grade 7 - $53,000 - $54,000

The Institute uses the General Schedule salary tables for administering compensation. Offers are determined based upon candidate qualifications, related experience, internal equity, and the amount budgeted for the position.

RESPONSIBILITIES

Program and Administrative Support:

* Provide programmatic and administrative support for the Nonviolent Action Program with projects operating in Colombia, Venezuela, Bolivia, and Nicaragua.

* Provide programmatic and administrative support for Nonviolent Action Program’s research team, including contract management, event logistics, and other tasks as necessary.

* Assist with basic research and writing when necessary under the direction of the Research Officer.

* Develops, edits, and updates program informational items for internal USIP staff members and external guests (e.g., fact sheets, web content, project pages, special reports, presentations, etc.).

* Supports the NVA Director, the Research Officer and the Program Officers in the management of convening, including public events, private roundtables or coordination with External Communications.

* Schedules meetings and activities to include overseas partner meetings and manages the LAP bi-weekly meeting and the monthly USIP Latin America Working Group and country program meetings.

* Responds to questions regarding general programmatic procedures and standards.

* Assist with program-related research and writing as needed, including blogs, background papers, and concept notes.

Procurement, Finance, Budget, and Travel Support:

* Assists program staff with budget and contract management tracking and support, including requisitions, invoice and expense processing, cash requests, and payment monitoring of contract services.

* Assist with travel arrangements and coordination for domestic and international travel.

* Processes travel authorizations, advances, cash requests, travel vouchers, and expense reimbursements.

* Assists the Program Officer with budget reports and tracking for the LA program.

Event Development and Planning:

* Drafts event announcement text, agendas, panelist bios, etc. and develops promotional and informative descriptions of events for internal USIP staff members and external audiences.

* Coordinates all logistical arrangements for program events, domestic and abroad. Tasks may include reserving rooms or conference venues, developing invitations, monitoring RSVPs, ordering food and supplies, arranging room set-up and conference services (e.g. interpretation), and serving as the main point of contact for attendees.

* Translates documents from Spanish<>English as required.

Performs other duties as assigned.

QUALIFICATIONS

* Bachelor’s degree with one (1) year of experience in International Affairs, Political Science, or other related field or equivalent experience is required.

* One (1) year of experience related to programming in peacebuilding, security, or development projects in Latin America; experience in the region strongly preferred;

* Interest and knowledge of international relations, nonviolent action, peacebuilding and security, and Latin American studies are strongly preferred;

* Excellent writing skills.

* Strong skills in Microsoft Office Suite, particularly MS Word, MS Outlook, and MS Excel. Previous experience with Salesforce and strong computer skills in database usage is preferred.

* Strong time management skills with the ability to prioritize work and meet deadlines.

* Experience organizing conferences and meetings and making domestic and international travel arrangements.

* Demonstrated ability to develop effective working relationships and strong interpersonal skills, including cross-cultural communication.

* Must have excellent oral and written communication skills in English

* Fluency in Spanish required.
