JOB BRIEF
The Program Assistant will provide administrative and programmatic support to program managers and other program staff in assisting them as they execute the Conflict Management Training for Peacekeepers (CMTP) program goals. Through its five-day training, the CMTP program equips peacekeepers with a range of skills and knowledge to strengthen their capacity to protect civilians in order to improve their interactions with local populations and mission actors and more effectively carry out their mandate.
This position is based in Washington, DC and reports to the Program Officer/Program Lead of the CMTP program and is a part of the Curriculum and Training Design (CTD) team. The CTD team creates and implements rigorous and sustainable transformative learning processes that strengthen the capacity of individual and institutional partners to build just and inclusive societies.
TARGET SALARY RANGE
Grade 7 - $48,670 - $50,292
The Institute uses the General Schedule salary tables for administering compensation. Offers of employment are determined based upon candidate qualifications, related experience, internal equity and amount budgeted for the position.
RESPONSIBILITES
Administrative Support:
* Assists in establishing and maintaining administrative policies and procedures to manage the day-to-day operations of the CMTP program.
* Responds to questions regarding general administrative procedures and standards.
* Coordinates and implements the logistics of training programs, to include securing travel bookings, on-the-ground transportation, and overnight accommodations for staff, contracted trainers, and invitational travelers.
* Supports the management and execution of contracts including drafting and submitting contract language, completing requisitions, processing invoices, expenses, and receipts and monitoring payment of contractors.
* Manages regular communication with trainers regarding training logistics and contracts.
* Coordinates with the USIP Finance team to obligate and expend funds, track budgets, resolve issues and generate budget and financial reports to help monitor program budgets.
* Schedules internal meetings and activities.
* Coordinates the knowledge management for the team, including research, data management and outreach to improve program tracking and capture lessons learned.
Programmatic Support:
* Conducts occasional research to contribute to program materials.
* Develops, edits and updates internal and external program documents
* Supports the development and implementation of a communications strategy, including research and writing for publications and content creation.
* Supports the maintenance of internal and external partnerships to further program goals and objectives.
Performs other duties as assigned and requires occasional international travel
QUALIFICATIONS
* Bachelor's degree in international affairs, peace and security studies, education, African studies or related field, or equivalent combination of education and experience.
* One (1) or more years related administrative experience; familiar with general administrative practices and implementing international programs.
* Strong skills in the Microsoft Office Suite, particularly MS Word, MS Outlook, and MS Excel.
* Strong computer skills in database usage.
* Strong writing skills.
* Strong time management skills with the ability to multitask, prioritize work and meet deadlines.
* Detail-oriented with strong organizational skills.
* Thrives in a fast-paced environment and as part of a dynamic team that requires administrative and programmatic support.
* French proficiency preferred.
