JOB BRIEF
The Administrative Assistant will play a key role in supporting USIP’s Police Dialogues Program. The program aims to strengthen the capacity of security actors in Burma to prevent electoral violence. Through a series of dialogues and skills-building exercises, the program will build knowledge and skills, among key security actors, in democratic policing of elections and community engagement. The program will be staffed by a combination of local and international consultants and will deliver numerous activities outside of Yangon. It will, therefore, require a strong administrative assistant to ensure efficiency. This position is based full-time at the USIP Yangon office. Occasional travel to other parts of Burma may be required during the 18-month program period.

RESPONSIBILITIES
* Arrange project team travel, including air travel, visa assistance and hotel bookings;
* Support planning of all dialogues and events, including organizing venues, travel arrangements, disbursing per diems, preparing documents and all other logistical tasks;
* Maintain key administrative and contractual project records, including correspondence with funder, USIP Headquarters, and all attendance registers, receipts and documents required in terms of the project contract with funder;
* Assist in the preparation of documentation for events and of the reports on activities;
* Maintain accurate and up-to-date financial records;
* Assist Country Director with planning and arranging induction of new team members and visiting consultants;
* Schedule and coordinate team and partner meetings for the project, including setting up the meeting space and preparing refreshments;
* Arrange procurement for services and supplies including quotation requests;
* Maintain minutes of all team meetings;
* Greet office visitors, answer phone, and distribute office mail;
* Support the Administrative and Finance Manager with office filing and other routine office paperwork
* Coordinate with USIP’s Washington DC/HQ IT department for routine IT issues and setup of equipment for new staff.Performs other duties as assigned.
QUALIFICATIONS
* A relevant degree in administration or similar background.
* Three (3) or more years of relevant work experience, preferably in the non-profit sector.
* Experience working with officials in government, international organizations and national CSOs.
* Fluency in English and Burmese required.
* Willingness to travel as necessary.
* Attention to detail.
* Ability to work under pressure and complete tasks on deadline.
* Excellent interpersonal and communication skills.
Please note:
* This is a Fixed-Time Term Personal Services Contractor position.
* Compensation is commensurate with qualifications and experience and with USIP pay scale.
