JOB BRIEF

The Administrative and Logistics Assistant for Burma will be responsible for providing office administrative functions and supporting all required logistical arrangements for meetings, workshops and conferences. The Administrative and Logistics Assistant will report to the Administrative and Finance Manager and work closely with other colleagues across USIP. This is a full-time position based in Yangon, with frequent travel within Burma, as necessary.

This is a Personal Services Contractor position.

RESPONSIBILITIES

Administrative Support:

  • Arrange USIP staff and consultant travel, including air travel and hotel arrangements.
  • Greet office visitors, answer phone, and distribute office mail.
  • Schedule and coordinate team and partner meetings, including setting up the meeting space and preparing refreshments.
  • Support the Administrative and Finance Manager in office filing and other routine office paperwork.
  • Coordinate with USIP’s Washington DC/HQ IT department for routine IT issues as well as setting up equipment for new staff.

Logistical Support:

  • Manage conferences and events such as booking venues, making travel arrangements for participants, disbursing per diems, and any other logistic tasks. This may occasionally involve travel outside Yangon.
  • Assist in the preparation of activities documentation and activities reports.
  • Handle procurement for services and supplies including quotation requests.
  • Performs other duties as assigned.

QUALIFICATIONS

  • relevant degree in administration or similar background.
  • A minimum of three (3) years of relevant work experience, preferably in the non-profit sector.
  • Good interpersonal and communication skills.
  • Demonstrated experience coordinating with officials in government, international organizations, and national partners.

All USIP contract and employee positions are contingent upon the favorable completion of a suitability background investigation.

Compensation is commensurate with qualifications and experience.
