Executive Assistant to the CEO and COO

Washington D.C.

Summary: Promotes efficient delivery of services for the office of the Chief Executive Officer. Represents the president internally and externally as needed; and provides liaison between the President, key executives, employees, country offices and external constituencies. Deals with a wide range of highly sensitive issues under tight deadlines/pressures.

Key Job Outcomes:
* Meeting Coordination: Works with the CEO to organize and coordinate internal and external meetings. Follows-up on deadlines for assigned activities including donor related work and external meetings. Works in coordination with the Executive Assistant to backstop preparations for all Board meetings and Board related activities.
* Financial Management and Record Keeping: Maintains appropriate document filing, retrieval systems and storage of program documents that are parallel with a paper system. Responsible for managing and submitting CEO and COO’s expenses in a timely manner in accordance with all Pathfinder regulations.
* Calendaring and Scheduling: Manages the CEO and COO's calendars and schedules appointments with external stakeholders in coordination with the Executive Assistant. Ensures CEO and COO have materials and briefings for all meetings, in coordination with the Executive Assistant.
* Networking: Develops appropriate contacts within frequently-met partner agencies, government and donor offices, among others.
* On-site Visit Logistics Coordination: Manages itineraries and logistics for key program visits by external staff, partners and consultants and for in-house meetings.
* Travel Coordination and Trip Direction: Manages travel arrangements for the CEO and COO and serves as a trip director to execute major international and domestic trips by the CEO, including working with all relevant parties including communications, Programs and Impact and fundraising.
* Project Management and Participation; Manages or participates on cross-functional project teams.

Minimal Requirements

Minimally Required Job-Specific Competencies:
* Logistics Practices and Guidelines: Foundational knowledge of best practices and guidelines for logistics.
* Meeting Coordination: Ability to schedule and coordinate meetings for staff.
* Filing and Record Keeping. Advanced skills in filing documentation, record keeping, financial management as related to expenses and travel.
* Relationship Management: Ability to establish and maintain relationships with key stakeholders.
* Travel Coordination: Ability to coordinate travel plans for others.

Minimally Required Organizational Competencies:
* PC Applications: Advanced knowledge of MS Office products, including MS Word, Excel, Outlook, and PowerPoint
* Languages: Advanced writing and speaking skills using local language and English language.
* Communication: Advanced oral and written communication skills
* Sexual and Reproductive Health and Rights Services: Foundational knowledge of family planning and reproductive health principles, practices and services, including program strategies and indicators.
* Passion for Sexual and Reproductive Health: Demonstrated commitment to family planning, reproductive health services, gender, maternal, child health services, and eradication of harmful traditional practices.
* Influencing and Customer Service: Advanced influencing and diplomacy skills. Advanced customer service skills.
* Organization, Planning and Multi-tasking: Advanced organizational and planning skills, project planning and management skills. Proven ability to set priorities, meet deadlines and multi-task with minimal supervision.
* Self-Management and Teamwork: Ability to work independently or as a member of the team, ability to be detailed-oriented, and ability to manage stress effectively in a fast-paced environment.
* Matrix Management: Ability to thrive in a matrixed organization.
* Confidentiality: Ability to handle sensitive and confidential information in a discreet and professional manner

Required Education, Training and Experience:
* Secondary Education Diploma
* 10+ years of experience in office administration or secretarial work

Other Information:
* Travel required (No more than 10%)
* Uses cellular and desk phone; laptop or desktop computer
