JOB BRIEF
The Administrative Assistant provides administrative and logistical support to USIP’s programs, including coordinating meetings and events as needed and in close coordination with USIP’s strategic partner, Sanad for Peacebuilding, and USIP’s Regional Hub based in Tunisia accordingly. The administrative assistant is under the supervision of the Iraq Country Manager. This position is for national hires only.
This is a Fixed-Time Term Personal Services Contractor position.
RESPONSIBILITIES
- Manages and coordinates logistical support, including USIP’s drivers;
- Provides translation and interpretation from Arabic to English and English to Arabic;
- Coordinates daily check in procedures with Tunis Hub and Erbil office;
- Ensures that new administrative procedures are being implemented accordingly by Iraq staff.
- Supports efforts to organize USIP documentation library for programs and financial reports in coordination with program teams and Tunis Hub.
- Develops and maintains master calendar of USIP programs, activities, and events, etc.
- Maintains and updates master index of all USIP points of contact, networks, and key individuals and organizations critical to USIP programs and objectives.
- Responsible for Office Management planning and implementation, including but not limited to; inventory, storage, procurement of goods and services, office maintenance, etc.
- Manages and coordinates internal travel, lodging, and transportation of and for Iraq field staff as required.
- In coordination with Tunis Hub, manages and coordinates external travel of Iraq field staff as required.
- Travels occasionally and as needed to other parts of the country, including Basra, Erbil and Sulimaniya to assist in meetings and events held. Other travel is anticipated to Tunis for USIP regional events, such as the annual team retreat and potentially to USIP HQ in Washington, DC.
Performs other duties as assigned.
QUALIFICATIONS
- Bachelor’s degree in related field, such as business management/administration, desired.
- Minimum of three years of administrative support experience in high operational tempo environment.
- Proficiency in Microsoft Word, Excel, Outlook, is a must.
- Knowledge of operating standard office equipment.
- Excellent communication skills – Written and Verbal.
- Ability to prioritize projects, work with minimal supervision, and exhibit strong problem-solving skills.
- Good research skills and attention to detail.
- Strong organizational skills.
- Strong verbal and written English language skills required.
- Valid Driver’s License required.
